Confirm the people, period and currency
Start with the period you are preparing and the list of people included. Check joiners, leavers and changes in employment details against the approved source your team uses. A previous month's list is a starting point for review, not proof that this month has the same people or terms.
Confirm the currency and the meaning of each input before comparing figures. A formatted currency symbol does not convert an amount, and supporting a currency does not by itself mean a product handles every local payroll requirement. Keep country-specific checks with the person responsible for those requirements.
Review what changed this month
Separate recurring pay from this month's adjustments. For each change, keep enough context for a reviewer to understand who approved it, the period it belongs to and why it exists. Include reversals and corrections rather than silently overwriting the earlier figure.
Payloom organises work around a monthly run. Use a sample run to check how your team will enter and review salary adjustments before moving a live process. Compare the resulting figures with your approved calculation method and investigate any difference before finalising the run.
Check both individual results and totals
Review a selection of individual results, including a normal case and a person with a change. Check the relationship between gross pay, deductions and net pay. A correct overall total can still hide an amount assigned to the wrong person, so it should not be the only acceptance check.
Compare the run with the previous approved period and explain material differences. A larger total may be expected after a new hire or adjustment, but it still needs an explanation. Keep a list of unresolved differences and assign someone to resolve each one before the run is approved.
Inspect the payslips and bank export
Produce the outputs you will actually use. Read the names, period and amounts on several payslips and check that your selected design prints legibly. For a bank export, inspect the file's columns and the destination bank's requirements; a generated file is not evidence that the bank has accepted it.
Payloom prepares bank sheets; your team remains responsible for reviewing and submitting them through the appropriate banking process. Confirm the payment outcome separately. Do not treat a completed payroll record or a downloaded file as confirmation that employees have been paid.
Close the cycle with a clear record
After your review is complete, lock the monthly run using your approved process. If a correction is needed later, reopen and review it explicitly rather than keeping a separate unrecorded adjustment elsewhere. Tell the reviewer which outputs were replaced and keep the record understandable.
At the end of the cycle, retain the approved outputs according to your organisation's own record-keeping requirements. Review access when team responsibilities change. The value of a repeatable checklist is that the next month starts from a known process rather than someone's memory.
